Position Summary:

The IT Inventory Control Specialist is responsible for overseeing the flow of inventory into and out of the IT Department, and processing all IT-related purchases in support of projects and operational needs. This role is responsible for providing support to the Senior IT Inventory Control Specialist. Primary responsibility includes device pre-configuration, managing inventory, receiving and asset-tracking tasks, inventory management, asset disposal, invoice reconciliation and the RMA process. 

 

Essential Functions of the Job:

  • Maintain sufficient safety stock of IT equipment in order to reduce delays with deployments and break/fix requests; make recommendations to adjust safety stock based on the needs of San Ysidro Health.
  • Maintain an accurate inventory of all IT Equipment; ensure equipment is checked-in/checked out and all IT equipment transactions are tracked in a ticket; Conduct periodic inventory audits to validate accuracy.
  • Provide backup support executing orders on IT equipment and services. Entering quotes in purchasing system, reviewing & approving requisitions, requisition tracking and reporting; ensure purchase requisitions are accurate; Ensure orders are placed in a timely manner.
  • Interface with various departments in the company regarding quote requests IT equipment. Research requested parts/products –types and availability, vendor selection, price comparison & customer communication.
  • Use IT knowledge to make recommendations on equipment orders in order to align with existing technologies, standards and best practices.
  • Work with the Purchasing department on coordinating all operational tasks related to purchasing, receiving, and shipping.
  • Work with the various IT teams to ensure all IT purchases are made for projects and operational needs – to include IT hardware/software/service maintenance agreements and all new IT purchases related to projects.
  • Ensure all IT equipment has an asset tag; ensure all IT equipment is entered in the electronic inventory system. Support the IT Department with ordering all IT Equipment. Support the IT Department in ordering software and office supplies. Assist with maintaining software licenses and installation file versions based on new orders.
  • Ensure IT hardware under warranty (RMA) is quickly returned to the vendor for replacement.

 

Additional Duties and Responsibilities

  • Clean and restock, wipe & destroy, failed part/warranty follow-up, coordination, and scheduling of disposal with the disposal company.
  • Develop and maintain IT department system documentation materials (paper and electronic).
  • Make recommendation to improve the purchasing, inventory, and asset management processes – to include coordination with IT and other departments.
  • Attends meetings as required and participate on committees as directed.

  • Performs other related duties as assigned

 

Job Requirements

Education Required:

  • High School Diploma or GED equivalent

 

Experience Required:

  • General familiar and understanding of basic ITIL terminology

 

Certifications and Licenses Required:

  • Valid Driver’s License and Vehicle Insurance

 

Verbal and Written Skills Required to Perform the Job:

  • Excellent oral and written communication skills, with focus in technical or instruction-oriented writing and in clearly communicating complicated concepts over the phone, in person and in writing.

Working Conditions and Physical Requirements:

  • Sitting in an ergonomically able position for periods of time
  • Significant lifting or adjusting of computer equipment in an average of 50lbs.
  • Reliable access to personal vehicle; work-related travel is expected in this role

 

Universal Requirements:

Pre-employment requirements include I-9, physical, positive background and reference check results, complete application, new hire orientation, pre-employment PPDs. Compliance with all mandated vaccinations and all boosters is a term and condition of employment.
