Assistant Events Manager (Team Training, Soccer and Track)

The Assistant Event Manager (Team Training, Soccer and Track) will oversee the day-to-day operations of events within Basketball, Football and Lacrosse.

 

Position Responsibilities

  • Facilitate internal communication with all necessary departments to ensure all departments are working collectively on event success and problem solve conflicts/issues that may arise 
  • Develop and maintain strong relationships across campus, particularly in Sport and Operations 
  • Establish and manage budgets for each event 
  • Work with Accounting to manage finance processes for each event, including performing financial reconciliations, processing invoices, budget reviews, purchase orders, and new vendor processing
  • Develop and execute event operations plans to include security, restrooms, ticketing, parking, etc. 
  • Procure all necessary supplies and equipment for events 
  • Prepare event production timelines, venue schematics, and event orders 
  • Assist with the recruitment and training of event staff 
  • Assist with other events outside of primary sports when necessary 
  • Assist with marketing campaign including communication and promotions partnering with Marketing as appropriate 
  • Assist in development and management of department and companywide risk and site management plans 
  • Liaison between corporate sponsors, event staff and IMG Academy business partners 
  • Adhering to all company policies, procedures and business ethic codes 
  • Other duties as assigned  

Knowledge, Skills and Ability   

  • Bachelor’s Degree 
  • 3+ years of successful event planning and management 
  • Sports background 
  • Experience in event planning and management of youth sports/events 
  • Ability to establish and follow budgets 
  • Ability to manage and supervise people 
  • Highly motivated and able to take initiative 
  • Ability to work in a fast – paced, dynamic environment meeting multiple deadlines 
  • Strategic thinker with the ability to learn existing processes and improve them
  • Exceptionally detailed in work
  • Ability to communicate to a variety of audiences
  • Strong organizational skills
  • Ability to be trained in multiple digital software platforms including but not limited to management systems, SAP and venue scheduling 
  • Desire to work collaboratively with colleagues  
  • Excellent written and verbal communication skills  

Preferred Skills

  • Business development experience 

 

Physical Demands and Work Environment 

  • Ability to lift, move, push and pull equipment or boxes in excess of40lbs.  

  • Ability to perform the physical aspects of event set up, tear down and execution. 

  • Should be able to handle outdoor temperatures for a reasonable period of time. 

  • Must be able to move around campus which includes gym, turf, fields, etc. 

  • Ability to work flexible hours to include nights, weekends and holidays is required
