POSITION SUMMARY:

  • The Lead Project Coordinator - Warehouse reports to the Manager, Project Coordinators
  • Located in Countryside, IL
  • Full-Time
  • In Office

 

 

The Lead Project Coordinator – Warehouse is responsible for the coordination of order shipments, processing returns, and facilitating communication between the equipment warehouse and the contract equipment teams. Based primarily at WHS 300 in Countryside, IL, this role works closely with the equipment warehouse team to ensure timely and accurate order processing, oversees the full returns process, and acts as a key liaison between warehouse operations and the PC/PM teams. This position is critical to maintaining workflow efficiency, inventory accuracy, and cross-departmental communication.

ESSENTIAL FUNCTIONS & RESPONSIBILITIES:

Warehouse Operations & Communication

  • Print and sort pick tickets by required shipment date and other attributes (rush for example) as needed.
  • Adjust pick ticket quantities based on PC/PM team direction and note changes to minimize rework.
  • Coordinate with warehouse leadership to ensure timely processing of pick tickets.
  • Ensure rush orders are prioritized and processed to meet deadlines.
  • Support staged order accuracy checks prior to shipping as requested.
  • Participate in the weekly reviews of the warehouse production plan.
  • Follow up on missing items with the warehouse team as requested.
  • Takes direction from the Manager of Project Coordination.  Works collaboratively in a team environment with the WHS 300 team.
  • Attend weekly Tuesday staff meetings at WHS 100 to:
    • Review production plans.
    • Connect and collaborate with peers
    • Maintain understanding of and learn new processes.
    • Present ideas and opportunities for improvement from a warehouse perspective
  • Serve as the point of contact for:
    • Receiving scheduling requests (especially when Open Dock slots are full).
    • Coordinating inbound dedicated trucks.
    • Documenting inbound/outbound shipments with photos.
  • Supports and participates in the annual physical inventory process.

 

Supports the Contract PC/PM Team

  • Respond to inquiries regarding:
    • Shipment delays or priority changes.
    • Rush shipment coordination.
    • Dock status and expedited receiving.
  • Provide documentation for stored materials as needed.
  • Organize and prioritize replacement shipments.
  • Understand and assist with truck scheduling (Senior Logistics Coordinator remains primary scheduler).
  • Coordinate with Senior Logistics Coordinator & Warehouse Manager to align shipments with the production plan.

 

Returns & Inventory Coordination

  • Coordinate the full returns process for WHS 300.
  • Evaluate returned items to determine appropriate disposition (return to vendor, return to stock, scrap, or dead list).
    • Coordinate vendor returns for damaged goods and manage final disposition of returned items.
  • Collaborate with warehouse team to ensure proper transfer and slotting of returned items.
  • Investigate and resolve items received without purchase orders in coordination with the PC/PM team.
  • Assess and address damaged items upon receipt from vendor; determine if shipments should be refused.

 

Invoicing & Documentation

  • Ensure timely invoicing of pick tickets (same day or next morning).
  • Investigate and resolve discrepancies promptly.
  • Ensure all serial numbers are accurately captured and recorded.

QUALIFICATIONS & EXPERIENCE:

  • Experience working in warehouse environments
  • Basic technical proficiency (Excel, email, internal systems) with a willingness to learn more advanced tools.
  • Basic understanding of shipping and logistics operations preferred
