Audit Coordinator II – Medical Record Vendor AR Aging
The position of the medical record vendor AR aging audit coordinator II supports the MR invoice process with reconciling the Monthly Medical Record Vendors AR aging reports. Monthly reconciliation functions included but not limited to; ensuring all medical records fees are paid accurately and in accordance with Client SLA’s and vendor fee agreement per vendor, work with vendors to request missing MR Invoices, validate medical records are received and follow up with providers/vendors when medical record invoice payments processed, and no medical record received. Support Medical Record Invoice Team Manager with monthly medical record vendors AR aging reports, special projects and Ad Hoc request.
Responsibilities:
- Research vendor monthly aging statements and work with vendors on outstanding balances.
- Ensure that all invoicing for medical records and audit fees are handled and processed timely and accurately in accordance with agreed fee schedules.
- Become acclimated and knowledgeable of the terms and limitations for client invoicing policies/contracts.
- Validate medical records are received
- Follow up with providers/vendors when medical record invoice payments are processed, and no medical record received.
- Work with internal departments to resolve medical record invoicing and collection issues,
- Perform quality review of medical record invoices for accurate payment processing.
- Create vendor records for payment processing.
- Process payments include ACH, credit cards and paper checks and prepare remittance advices for transmission with vendor payment.
- Update master payment file with payment details.
- Responds to accounting or billing inquiries from providers for medical record invoices.
- Become familiar with client reports and internal reports and assist in their preparation.
- Prepare reports and any ad hoc requests from Manager.
- Manage group emails inbox and respond to inquiries in a timely manner.
- Monitor group phone line to resolve medical records inquiries
- Ensure all audit issues are documented in the applicable audit program Audit System.
- Assist other Audit Coordinators in resolving phone and email inquiries.
- Escalate issues to management and handle Follow Up action as needed.
- Provide back-up assistance to other Audit Coordinators as needed.
- Comply with HIPAA and other regulations regarding confidentiality of information.
- Other duties as assigned to support the Medical Record Team Manager, audit process and/or company-wide programs.
Required:
- High School Diploma - Associate degree or relevant certification is a plus
- Solid knowledge of Microsoft Office is necessary, especially Excel, Word, and Outlook
- Highly organized, detail oriented and solid problem-solving skills
- Able to make recommendations to improve and streamline processes to make more efficient
- Ability to positively and comfortably handle and prioritize multiple tasks in a fast-paced environment with focused attention to detail
- High level of integrity and confidentiality
- Possesses time management skills; exhibits solid ability to prioritize work and perform multi-tasks.
- Basic knowledge of medical claims
- Strong written and verbal communication skills
