Administrative Assistant II
Location: Kentucky/Tennessee Divisional Headquarters – Louisville, KY
About this opportunity:
Provides administrative support for The Salvation Army Kentucky/Tennessee divisional business and finance departments. Performs advanced, complex confidential work with a broad scope of responsibilities; coordinates information and arrangements for meetings and seminars; works independently and with little or no direct supervision for extended periods, ensures the office runs smoothly and with limited interruption while the supervisor is absent.
Key responsibilities:
- Serves as a liaison for other Divisional Headquarters departments, seeking information or services from the General Secretary or Divisional Secretary for Programs; responds to questions, researches, and provides specific and general information based on the knowledge of the department operations; ensures the accuracy, completeness, and timeliness of all information provided; works with legal and other confidential matters and maintains the confidential nature of the position.
- Researches, compiles, interprets, and summarizes information for various reports, spreadsheets, surveys, and special projects; researches files, accounts, records, etc., to resolve problems and correct documented information; informs appropriate individuals of discoveries.
- Performs administrative work associated with special projects; processes correspondence and particular documents; ensures accuracy and completeness before submitting for approval and signatures. Receives, opens, and distributes department mail in an accurate and timely manner; ensures that all correspondence received is forwarded to the appropriate person and destination; collects and prepares outgoing mail for the department
- Prepares and maintains office records, databases, books, logs, lists, etc., in an accurate, complete, and timely manner; updates, posts, and indexes information and inputs data into the computer to maintain department records; research department files to locate specific information found in documents, correspondence, lists, forms, etc.
What we are looking for in you:
- A High School Diploma or GED is required; an associate degree from a technical or vocational school supplemented by business courses or computer database training is preferred.
- Three years of progressively responsible experience performing administrative support work in a general office or any equivalent combination of training and experience that provides the required knowledge, skills, or abilities.
- Advanced knowledge of Microsoft 365. This includes Outlook, Teams, Excel, Word, and PowerPoint.
- Ability to maintain confidentiality.
- Ability to meet attendance requirements.
- Ability to speak, read, and write English language.
Physical Requirements and Working Conditions:
- Work requires the ability to lift and carry or push/pull light (less than 25 lbs.) materials, supplies, and equipment. Light mobility: duties are usually performed by a combination of standing, walking, and primarily sitting. Work is performed in a normal office environment where there are little or no physical discomforts associated with changes in weather or discomforts associated with noise, dust, dirt, and the like.
