Rate of Pay: $16.00 per hour - Part Time Position

About this opportunity:

Performs a variety of Human Resources and clerical support work including completing onboarding process and paperwork, routine typing, filing, and photocopying, etc. under close supervision of an immediate supervisor; answers the telephone and provides general information regarding the department operations and/or services; processes incoming and outgoing mail. Assist with the day-to-day operations of the human resources office. Performs a variety of routine and complex clerical accounting functions including financial record keeping and reporting; processes donated funds, billings, invoices, purchase orders, requisitions, reimbursement requests, checks, check requests, payments and/or deposits.

 

Key responsibilities:

  • Prepares all employment action documentation for employees including but not limited to new hire, background checks, E-Verify, classification changes, and separation, FMLA, and workers compensation.
  • Ensures paperwork is submitted to DHQ HR for review and approval by the Divisional Finance Board in a timely manner.
  • Maintains the confidentiality of all human resource records, and the confidentiality of human resources-related correspondence, conversations, or issues residing in the Area Command/Corps; ensures all departmental files are maintained in secure and organized manner and retained according to record retention guidelines.
  • Completes and submits paperwork for Christmas Seasonal employees, ensures that all paperwork is completed, accurate, and submitted in a timely manner.
  • Maintains accurate and complete files of accounts, statistics, billings, invoices, and donor/client files; develops and maintains departmental files; prepares a spreadsheet for recording expenditures and approvals.
  • Compiles data and generates various departmental reports and inventory records; monitors incoming reports to ensure accuracy and completeness before processing the same.
  • Prepares correspondence regarding the status of accounts and responds to account inquiries; ensures all correspondence is prepared in a professional and tactful manner.
  • Performs data entry of financial information to prepare spreadsheet and general ledger programs for bookkeeping and reporting purposes.
  • Performs a variety of routine and complex clerical accounting functions including financial record keeping and reporting; processes donated funds, billings, invoices, purchase orders, requisitions, reimbursement requests, financial requests, checks, check requests, payments and/or deposits.
  • Posts and tracks payments to ledgers; tracks balances of the same; ensures appropriate staff remain aware of account balances; opens new account files and closes terminated account files in accordance with established procedures.
  • Receives, records, and deposits cash receipts; prepares daily tabulations and reports of cash receipts; distributes receipts to proper funds; makes daily entries into cash receipts ledger.
  • Performs routine typing of standard departmental documents, cards, and labels with little or no deviation from established methods and procedures; proof-reads documents for accuracy and completeness before completing one project and going on to another project.
  • Prepares, maintains, and updates office records, documents, logs, lists, files, purchase orders, etc.; inputs and updates information in computer database; research office files to locate specific information found in documents, correspondence, lists, forms, computer records, etc.
  • Performs routine filing and retrieving of a variety of correspondence, forms, cards, records, reports, and documents; sorts and files documents alphabetically, numerically or by any other established filing system; maintains and utilizes a bring-up filing system; ensures the files are maintained in an organized and efficient manner.
  • Scans DFB approved actions; sends notifications of such actions to appropriate individuals; files DFB actions in the file room.
  • Answers telephone in a courteous and tactful manner; assists employees and individuals external to The Salvation Army; provides accurate and complete information regarding the Department's operations and/or services; attempts to resolve complaints in a calm, courteous, and tactful manner.
  • Receives, sorts, and distributes mail in an accurate and timely manner; ensures that all mail received is forwarded to the appropriate person and/or destination; collects and prepares outgoing mail.
  • Photocopies and/or shreds a variety of items including correspondence, forms, reports, and documents.
  • Orders office supplies and equipment for the Department.
  • Assists other Department personnel in performing receptionist and clerical activities.
  • Assists with Human Resources, Accounting, and Administrative special projects.
  • Performs other duties as assigned.

 

What we are looking for in you:

  • High school diploma or G.E.D. required; and
  • Two years administrative or secretarial work in a general office environment, with prior work experience in an Accounting and/or HR Department preferred, or
  • Any equivalent combination of education and experience which brings about the necessary knowledge, skills, and abilities.

 

Physical Requirements and Working Conditions:

Ability to meet attendance requirements. Ability to read, write, and communicate the English language effectively. Ability to type and keypunch information into a computer. Ability to operate various general office equipment including a computer, photocopy machine, typewriter, facsimile, calculator. Work is usually performed in a normal office environment where there are little or no physical discomforts associated with changes in weather or discomforts associated with noise, dust, dirt, and the like. Duties are usually performed seated. Sitting may be relieved by brief or occasional periods of standing or walking. Limited amount of physical effort required associated with walking, standing, lifting and carrying light objects (less than 25 lbs.) 5-10% of work time.
