GENERAL DESCRIPTION:
As an experienced Deposit Account Services Senior Specialist, you will be involved in managing and overseeing the financial and account-related aspects of complex accounts. Responsible for researching and responding to complaints, escalations, and quality control findings. Support validation and testing innovative solutions while being intentional towards digital innovation and solutions. This senior level position plays a crucial role managing work assignments, daily reporting, and Data Change review to maintain the highest standards of accuracy and efficiency. The Deposit Account Services Senior Specialist should have an advanced understanding of all federal and state regulatory compliance, such as California Civil Codes, OFAC, and CIP. This role requires advanced knowledge of subpoenas, levies and garnishments and trust laws that govern credit unions. Manage phone activity and provide phone cover for incoming calls when volume exceeds normal levels.
TASKS, DUTIES, FUNCTIONS:
- Ability to act as a backup on any of the functions as needed: levies and garnishments, zero balance accounts, proxies, privacy opt-out notices, non-resident alien accounts, foreign account reports, safe deposit boxes, VOD/member rating letters, photocopies from various systems and applications, specialty accounts, research requests, B-notices, Social Security reporting, address changes, trusts, subpoenas, Immigration letters and account modifications.
- Verification and Documentation: Monitor financial performance and make recommendations for improvement. Identify areas of opportunity through regular inspection to ensure excellent quality of work.
- Legal Coordination: Experience collaborating with legal teams to address complex legal issues related to subpoenas, levies and garnishments and trust account handling.
- Regulatory Compliance: Maintain a thorough understanding of state and federal laws and regulations related to credit union compliance, including bank secrecy and anti-money laundering laws appropriate to the position. Direct experience and deep understanding of laws and regulations governing subpoenas, levies and garnishments and trusts at the federal, state, and local levels.
- Record-Keeping: Document processes and provide guidance on best practices industry wide. Maintain detailed records of activities, ensuring proper documentation to retain institutional knowledge and ensure continuity.
- Communication: Keeping all relevant stakeholders informed about relevant trends, risks and providing clear communication of goals and performance expectations.
- Work Assignments: Assigns daily work to team members, monitor phone calls to ensure all established KPI’s are met. Report daily progress and performance to management.
- Confidentiality: Commitment to maintaining the highest level of confidentiality and integrity, while adhering to privacy policy standards.
- Thorough Investigation: Conducting a comprehensive investigation to understand root cause of the problem, allowing for accurate and effective resolution that is documented for ongoing improvement.

- Training and Development: Promote cross-training within the team to broaden individuals’ skill sets and ensure team members understand each other’s roles and responsibilities.

ORGANIZATIONAL CONTACTS & RELATIONSHIPS:
- INTERNAL: Ability to collaborate and work effectively with cross- functional teams and internal stakeholders, such as Sr. Managers, VP’s, Compliance and legal.
- EXTERNAL: Interact with outside council, account holder of interest as well as third-party agencies when obtaining information relevant to accounts.
QUALIFICATIONS:
- EDUCATION: Minimum of a high school diploma or equivalent. A bachelor's degree in finance, accounting, business administration or 6 years in a related field is preferred.
- EXPERIENCE: 6+ years of experience in member service industry with a strong background in operational knowledge.
- Demonstrate leadership to guide a team effectively.
- Advanced knowledge of legal considerations related to subpoenas, levies and garnishments and trust accounts, and other relevant relationships.
- KNOWLEDGE / SKILLS:
- Advanced knowledge in subpoena, levies and garnishments and trust regulations governing at the federal, state, and local levels.
- Well versed in interpreting trust and court documents to ensure accurate and compliant handling, demonstrating strong legal comprehension.
- Advanced problem-solving skills and timely responses.
- Possess an advanced ability to navigate and resolve conflicts with discretion and professionalism, particularly in emotionally challenging situations.
- Advance in using systems, databases, and other relevant technologies.
- Independent self- motivated worker who takes initiative without need of supervision.
- Highly flexible and adaptable to sudden changes in the work environment.
- Analyze situations and make critical informed decisions that support our strategic objectives.
PHYSICAL REQUIREMENTS:
- Prolonged sitting throughout the workday with occasional mobility required.
- Corrected vision within the normal range.
- Hearing within normal range. A device to enhance hearing will be provided if needed.
- Occasional movements throughout the department daily to interact with staff, accomplish tasks, etc.
- Extensive PC data entry and processing throughout the workday.
