Job Summary:
The Accounts Payable Coordinator is responsible for managing and coordinating the company’s accounts payable operations. This role ensures accurate and timely processing of invoices, proper handling of payments, and compliance with company policies and procedures. The ideal candidate will have strong organizational skills, attention to detail, and the ability to work effectively in a fast-paced environment.
Essential Functions:
- Review, verify, and process invoices and expense reports for payment.
- Ensure invoices are matched to purchase orders and receipts.
- Resolve discrepancies and issues related to invoices and payments.
- Prepare and process payments via checks, ACH, or electronic transfers.
- Produces and files 1099’s annually
- Maintain and manage accounts payable schedules, including due dates and payment terms.
- Ensure timely and accurate payment of all obligations.
- Maintain relationships with vendors and suppliers.
- Address and resolve vendor inquiries and issues.
- Update and maintain vendor records, including W-9 forms and contact information.
- Reconcile accounts payable transactions and statements.
- Assist in monthly, quarterly, and annual financial reporting.
- Prepare reports on accounts payable activity as required.
- Ensure compliance with company policies, procedures, and regulatory requirements.
- Maintain organized and accurate records and documentation of all accounts payable activities.
- Assist with audits and provide necessary documentation as requested.
- Collaborate with other departments, such as procurement and finance, to streamline processes and resolve issues.
- Provide support and training to junior staff or new team members as needed.
- May be required to attend monthly operational meetings at various store locations.

Qualifications:
Minimum Qualifications:
2 years of experience in accounts payable or a related field.1 year of experience working for an automotive dealership.
Preferred Qualifications:
- Associate’s degree in Accounting, Finance, Business Administration, or a related field.
- Proficiency in accounting software and Microsoft Office Suite (Excel, Word).
- Strong attention to detail and accuracy.
- Excellent organizational and time management skills.
- Effective communication and interpersonal skills.
- Ability to handle sensitive information with discretion.
- Certified Accounts Payable Professional (CAPP).
Physical Demands:
- Frequently stands, walks, sits; uses hands; frequently reaches with hands and arms; frequently talks and hears.
Occasionally climbs or balances; occasionally stoops, kneels, crouches, squats or crawls; occasionally lifts up to 15 pounds.Prolonged periods sitting at a desk and working on a computer.
