Purpose

The Product Coordinator provides support for Ravago International business by managing the flow of products from the supplier purchase through receipt of material to the Warehouse. This requires a high level of attention to detail and proactivity to maintain the system up to date and the product/information flowing.

 

Areas of Responsibility / Tasks

Performance must reflect appropriate level of expertise and achievement of the desired results for the items listed below.   

                

  1. Essential Functions
  1. The Product Coordinator is responsible for purchase order entry and follow-up
  2. Relationship building and interaction with suppliers at multiple levels
  3. Updating purchase information into the ERP system (dates, weights, rail car information and product information) to ensure accurate reporting information needed by Product Managers for product availability decisions.
  4. Send Inbound notification and packaging instructions to warehouses
  5. Monitors established KPI’s daily by using the reporting tools to proactively identify potential issues with the orders.
  6. Communicate with A/P to coordinate payments for Cash in Advance and Cash Against Documents purchases.
  7. Assist Accounts Payable with A/P differences.
  8. Investigate and process Claims related to Supplier invoices.
  9. Maintain proper records of each purchase transaction.
  10. Responsible for the setting up of new vendors and new grades. 
  11. Given that all incoming purchased material requires a work order to be completed by the Warehouse for packaging, re-packaging, relabeling and transfers.
  12. Monitors established KPI’s daily by using the reporting tools to proactively identify and react to potential issues with purchase orders.
  13. Manage claim creation, submittal and resolution resulting from non-performance issues by the Warehouses.
  14. Enable business continuity by promoting cross training with other members of the team.
  15. Participate in backup and load balancing process among members of the Product Coordinator team during periods of high workload, vacation and time off.
  16. Responsible for fomenting and maintaining a cohesive team environment in the Product Coordinator team.

  1. Proven communication and interpersonal skills (verbal and written) and ability to establish relationships and collaborate among other teams
  2. Ability to quickly learn, detailed oriented with an ability to prioritize
  3. Exposure to E-Commerce preferred          
  4. Proficiency in MS Excel, Word and Adobe/Nitro file creation and management
  5. Manage and organize time, information and resources effectively using SharePoint and Kira to meet deadlines and respond to requests on a timely basis

Minimum Qualifications/ Education / Experience / Certifications

  1. Education:
    1. Bachelor’s degree in related field preferred. 
    2. Equivalent experience considered in lieu of degree
  2. Experience:
    1. 3-5 years of previous experience in a similar role required
    2. Experience with Purchasing, Supply Chain or a related field is highly desired
  3. Licenses / Certifications:
    1. Valid driver’s license – required
  4. Language:
    1. Proficiency in English required
    2. Bi-Lingual – Spanish or Portuguese is a plus

 

Work Environment / Conditions

The work environment/conditions described herein are representative of those that an incumbent may experience, and therefore

        1. Must be adaptable to work in a shared space, with constant noise, with/or without the use of a private office.
        2. This position is a hybrid in-office and work-from-home role
        3. May be required to travel to office locations in the USA as well as other countries based on the businesses involved in e-commerce sales

  4. Ability to setup desk equipment including setting up equipment on top of desks and connecting cables and power cords under desk (requiring lifting, bending, pushing, pulling).
