Advertising Operations Associate

 

Job Purpose:

The Ad Sales Coordinator is a key member of the Ad Sales team and will partner cross-functionally across our Marketing, Music, Product and Tech teams. This role supports our Ad Sales team by handling pre- and post-sales administrative tasks, producing sales materials, and assisting with reporting and performance tracking. The coordinator ensures smooth communication between clients, sales, and internal departments to optimize the team’s operations and support new business growth. This role is perfect for new graduates who want to develop a wide range of skillsets across media.

 

Responsibilities:

  • Ad Campaign Management:
    • Manage the end-to-end Proof-of-Play (POP) process, from initial requests from sales/agencies/brands, to creating mockups and live shots, and/or coordination with photographers.
    • Prepare wrap-up reports for campaigns.
    • Generate and promo cards for applicable campaigns.

 

  • Client and Team Coordination:
    • Assist with outbound sales efforts, such as preparing sales materials (decks, one-pagers, spec sheets, media plans, etc.), sourcing leads, and compiling venue lists.
    • Coordinate logistics for internal and external team meetings and events, including but not limited to client meetings, team events, conferences, wrap up celebrations, catering and equipment setup, and field events.
    • Maintain and update CRM database for templates, contact sourcing, and outreach efforts.
    • Complete Operator Requests reports from the accounting team.
    • Organize, track, and maintain sales materials, team files, and accurate records for audit purposes.
    • Ensure compliance with policies and procedures.

 

Required Qualifications:

  • Strong written and verbal communication skills
  • Excellent attention to detail, organizational and prioritization skills
  • Ability to manage multiple tasks/projects at the same time
  • Ability to quickly learn and adapt to new technologies, tools, and systems
  • Ability to work both independently and as part of a team in a fast-paced environment

Preferences:

  • Previous experience working in an advertising/communications/media agency or in-house (internships count!)
  • Proficient with MS Office Suite, specifically Excel, PowerPoint, Word, Outlook
  • Knowledge of Salesforce or other CRM software
  • Knowledge of Seamless AI, ChatGPT, Media Document generation
