This is a great opportunity to support our Project Managers by handling administrative tasks, ensuring projects stay on schedule and within budget, and facilitating communication and collaboration among team members and stakeholders. This role will have responsibility for organizing and maintaining project documentation, including project plans, data and reports, and assisting in tracking of progress and payments. May have short term responsibility for invoicing. This role will also support Sample Administration to help manage both internal and external customer samples associated with global projects.
Essential Job Functions:
- Provides administrative support to projects, keeping things organized and tracking progress
- Organizes project data (due dates, invoicing information, metrics, etc.), assuring it is available to stakeholders and client.
- Serves as an internal point of contact for project-related inquiries, facilitating communication and collaboration among team members and stakeholders
- Aids and understands how quote framework relates to project structure, time reporting and invoicing
- Creates projects and associated work breakdown structure in enterprise ERP/CRM system and tracks progress in the application
- Collects data (hours, POs, Invoice amounts) from the Enterprise Resource System (ERP) and enters data into spreadsheets to calculate and track metrics
- Creates in ERP chain of custody sample IDs and completes necessary chain of custody procedures
- Maintain sample chain of custody processes to ensure compliance and efficiency
- Creates and improves documentation including Metrics, SOPs, Work Instructions and other templated processes for successful outcomes
- Work closely with Project Managers and Lab Operations to provide visibility to sample disposition
- Participates in maintenance and final disposition of all samples received within the Woodbury site
- As needed for Sample Admin support, ensure expected deliveries are received in full and received undamaged and verify/document any damage. Follow procedures and work with EHS to ensure that all samples are received, opened and stored utilizing the appropriate location and PPE
