The Enrollment Coordinator, Temporary will be responsible for processing all aspects of student enrollment at IMG Academy May through early September. Assist in guiding over 1,500 returning students, new students, and their families through the enrollment journey by primarily focusing on working with families to support them in the onboarding and arrival process. The successful candidate will work to ensure each family has been given the resources and support that is necessary for the student to have an incredible experience at IMG Academy! Responsibilities include but are not limited to owning processes and communication-related to the onboarding of students. In addition, creating, distributing, and finalizing enrollment agreements.

 

Position Responsibilities

 

Process

  • Effectively communicating with clients about requirements and expectations for their boarding school experience
  • Responsible for the onboarding experience of a boarding school family, including managing the clearance of registrations forms for boarding school
  • Prepare, create, distribute, and finalize student enrollment agreements
  • Ensure proper completion of the enrollment agreement in coordination of IMG Academy policies and procedures
  • Reconciles completed enrollment agreements with IMG Academy accounting and finance department
  • Manages all enrollment agreement revisions and adjustments
  • Utilize CRM system daily to track communication and process on all student enrollments

 

Communication

  • Provide exceptional customer service via prompt and accurate communication with current and potential IMG Academy families
  • Act as a liaison and point of contact between the families and the Academy, specifically regarding the onboarding experience
  • Facilitate and communicate effectively with families on enrollment agreement status, including when an enrollment agreement is set to expire
  • Communicate regularly with IMG Academy student-athletes on the status and progress of their respective families through the enrollment process

 

Collaboration

  • Effectively build relationships with and prioritize the requests/needs of the Student-Athlete Advisor team, ensuring effective communication
  • Collaborate with the Enrollment Services Manager to ensure best practices and identify new opportunities for efficiencies and growth
  • Ensure proper communication with Enrollment Services Manager to accurately present data to Reporting Analysts, John Hopkins, and other relevant stakeholders on campus
  • Work with the Finance/Accounting team to properly organize and archive enrollment contracts, ensuring effective reconciliation
  • When necessary, communicate with admissions office on a regular basis regarding applicant status and ensuring student enrollment agreement coincides with such status
  • If needed, properly communicate with Housing and Accommodations staff members, ensuring laundry/housing upgrades are effectively communicated/reconciled
  • Manage the Support Team email and phone line to fulfill customer requests
  • Provide coverage, manage and assist the clearance of registration forms for boarding school and if needed, assist the camp team
  • Provide coverage during boarding school check-in to answer any questions, way find and assist where needed
  • Assist with overflow of needs from other departments especially during peak seasons on campus
  • Other duties as assigned

Goals

  • Successfully contribute to achieving annual enrollment targets set forth by senior leadership
  • Successfully contribute to achieving 100% registration and health forms clearance for boarding school
  • Effectively obtain all student enrollment agreements in conjunction with their expiration dates
  • Maintain accurate enrollment data and status tracking in real time

Required Knowledge, Skills and Abilities

  • Bachelor’s degree required
  • Experience with high-volume calling
  • Excellent written and verbal communication skills
  • Adequate Microsoft Excel skills (Data Validation, IF formulas, VLOOKUP, Pivot Tables, Slicers, Conditional Formatting, etc.)
  • Advanced knowledge and ability to use CRM systems
  • Basic understanding of sales processes/pipeline management is preferred
  • Highly organized and prepared; flexible in meeting the needs of multiple departments in a timely fashion
  • Proven ability to multi-task while handling a wide array of responsibilities
  • Experience communicating highly sensitive information amongst multiple departments
  • Strong commitment to customer service and the student-athletes’ and their families’ experience, as well as collaboration within the team and across multiple departments on campus
  • Bilingual (Spanish)

 

Preferred Knowledge, Skills and Abilities

  • Knowledge of electronic contract signing software is preferred (i.e. – Adobe, Signable, etc.)
  • Knowledge of SSS financial aid portal is preferred
  • Knowledge of a Health Record/Online Registration platform is sought, but not required
  • Some knowledge of database management (Access, SQL, ETL Pipelines) is sought, but not required
