If you are ready to change the world and protect the protectors, the International Association of Fire Fighters (IAFF) currently has an IMMEDIATE opportunity for a Grants Coordinator to work in the IAFF Grants Administration Department.

This is a non-exempt, full-time position (32.5-hour work week) with office assignment at the Headquarters of the International Association of Fire Fighters in Washington D.C. Position Summary:

The Grants Coordinator is responsible for overseeing federal grants within the IAFF. This position plays a pivotal role in ensuring the effective administration of grant-funded initiatives by drafting grant proposals, preparing detailed progress reports, and maintaining compliance with federal regulations and funding requirements. This position works closely with program staff, subject matter experts, and external stakeholders to gather relevant data, document programmatic progress, and develop high-quality grant narratives. A key responsibility of this role is the preparation of quarterly, annual, and final reports for federal agencies - ensuring accuracy, clarity, and compliance. The Grants Coordinator will serve as a liaison between the IAFF and federal agencies - responding to inquiries, coordinating reporting requirements, and facilitating effective communication regarding grant performance.

The ideal candidate will possess strong writing, research, and analytical skills, a thorough knowledge of federal grant regulations, and the ability to work independently to meet critical deadlines.

Responsibilities:

  • Research, draft, and develop compelling grant proposals and applications aligned with federal requirements.

  • Collaborate with subject matter experts and program staff to gather content for grant applications.

  • Lead the preparation of quarterly, annual, and final reports for federally funded grants, ensuring compliance with all reporting requirements.

  • Track and document programmatic progress, deliverables, and milestones to support accurate and timely report submissions.

  • Interpret and apply federal regulations and guidelines governing grant-funded projects to ensure compliance.

  • Maintain detailed records of grant proposals, awards, project activities, and reporting deadlines.

  • Coordinate with program staff to collect necessary data and documentation for grant reports.

  • Act as a liaison between IAFF and federal agencies to address reporting requirements, project updates, and compliance matters.

  • Support the development of presentations, briefings, and grant-related communications.

  • Provide guidance and training on grant reporting processes to internal teams as needed.

  • Monitor and stay updated on federal grant regulations, funding opportunities, and best practices in grant management.

  • Perform other duties as assigned to support the IAFF’s training and grant initiatives.

Skills:

  • Ability to research, draft, and refine compelling grant narratives that align with federal funding priorities and organizational objectives.
  • Exceptional written communication skills, including technical writing and the ability to translate complex programmatic information into clear content.

  • Strong understanding of federal grant regulations, including 2 CFR Part 200 (Uniform Guidance), agency-specific requirements, and reporting mandates.

  • Ability to synthesize data, performance metrics, and program outcomes into comprehensive reports and grant applications.

  • Strong research skills to identify new funding opportunities, analyze grant criteria, and incorporate data-driven justifications into proposals and reports.

  • Skilled in tracking multiple projects, managing reporting deadlines, and maintaining meticulous records of proposals, awards, and program progress.

  • Ability to coordinate with internal teams to ensure timely collection of required data, documentation, and performance metrics.

  • Ability to manage multiple projects simultaneously while meeting strict deadlines without compromising quality or compliance.

  • Strong organizational skills with a high level of attention to accuracy, consistency, and thorough documentation.

  • Strong interpersonal and verbal communication skills to coordinate grant-related activities and ensure alignment across departments.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), as well as grant management databases and federal grant reporting systems (e.g., Grants.gov, SAM.gov, FEMA GO)

  • Ability to manage digital records, track funding requirements, and utilize technology to streamline grant administration.

Qualifications:

  • Bachelor’s degree in Public Administration, Communications, Business Administration, or a related field required.

  • Public Safety/Public Sector experience preferred

  • Minimum of 3 years of experience in federal grants and/or contract management

  • Certified Grants Management Specialist (or obtain within two years)
