The Integrated Care Center Clinic is a federally qualified health centers that provide primary care, behavioral health, addiction treatment, psychiatry, dental care, and more. We provide care to those most in need including those who are suffering from homelessness, mental illness, substance use, mental illness, and chronic medical conditions. We provide team based care in an integrated care setting. Under the direction of the Clinic Operations director/manager, the Access Supervisor will play a key role in the overall efficiency of the clinics’ front desk. In addition to the duties of an access coordinator, the Access Supervisor is expected to assist the agency with day-to-day functions, which includes taking on and supporting a with patient intake/registration, insurance eligibility, scheduling, training of Interns & volunteers, all while ensuring compliance with clinic policy and procedures. The Access Supervisor is responsible for the direct supervision of the front office staff, training of new staff, monitoring and evaluating established workflows and deliverables, 90-day new hire evaluations, annual evaluations, quality assurance and improvement projects, and mitigating client access needs and issues. The Access Supervisor works in coordination with the Call Center Manager, Medical Assistant Manager, Nurse Manager, Medical Director, and Associate Medical Director to ensure efficient clinic flow.
KEY RESPONSIBILITIES
Clinic Intake Responsibilities:
• Ensures that all front office policies and procedures are current and make appropriate updates.
• Coordinates and delegates administrative front desk roles and responsibilities.
• Schedules medical clinic appointments and directs calls throughout the agency.
• Makes follow-up calls for providers, robust confirmation calls for “next day’s appointments”, and checks insurance or medical coverage eligibility.
• Greets and provides customer service to patients, guests, clients, and vendors.
• Participates and oversees daily patient care team huddles and communicates patient status to ensure smooth clinic flow for patients.
• Communicates clearly on the phone and accurately documents and assigns messages and faxes to the team.
• Assists with enrolling patients into programs that provide medical insurance or alternative coverage such as HSF (Healthy San Francisco) and Medi-cal
• Works at other locations as needed.
Documentation Responsibilities:
• Performs general administrative tasks; filing, organizing, data entry and billing.
• Processes patient/client data entry in various electronic systems in accordance with guidelines established by HealthRIGHT 360 to satisfy internal and external evaluating requirements.
Administrative Responsibilities:
• Manages receipt and routing of agency mail (incoming and outgoing).
• Manages cash box reconciliation daily.
• Assists and directs callers and visitors to appropriate employees and departments.
• Excels working both independently and in a team-oriented environment.
• Orientation, training and assisting volunteers, apprentices, and new hires on certain front desk responsibilities may be assigned.
• Ensures that all front office policies and procedures are current and make appropriate updates.
• Conducts in-person training with interns, volunteers, and Access Coordinator Team members.
• Manages receipt and routing of agency mail, faxes, and deliveries (incoming and outgoing).
• Manages cash box reconciliation and transactions log daily.
• Assists and directs callers and visitors to appropriate employees and departments.
• Participates and assists with leading daily access care team huddles and AC Team meetings to ensure smooth clinic flow for patients.
• Conducts and documents daily audits of patient registrations including but not limited to: new patient registration, self-pay appointments, intake forms, unassigned payers, flags and signatures, insurance verification and enrollment, telehealth outreach, missed appointment follow-up.
• Assists with leading enrollment for patients into HSF (Healthy San Francisco) program and supervision of the HSF enrollment program.
• Manages inventory, faxes, and directs mail as they arrive for the clinic.
• Completing a Daily Status report, sent to Operations Leadership including but not limited to: Next Day Insurance Verification, OnBase Number of Faxes left, and staffing status for next day.
• Ensures weekend clinic days and second floor desk are effectively covered for the Access Coordinator team.
QUALIFICATIONS
Education, Certification, Knowledge, Skills and Experience
Required:
• High School Diploma or equivalent
• Prior experience in front desk reception, administrative and/or customer service
• Strong proficiency with Microsoft Office applications (Excel, Outlook and Word), specifically Word, Outlook, and internet applications.
• Working knowledge of computerized medical scheduling and billing systems.
• Knowledge of HIPAA regulations.
• Commitment to working with diverse communities, including communities of color, homelessness, and users of illegal substances, HIV/AIDS patients and persons with mental health concerns.
Desired:
• Bachelor’s Degree or 3 years of experience working in a medical front office setting, preferably in a community clinic with medical experience.
• Supervisory/Management experience.
• Familiarity with other community agencies in the Bay Area to make appropriate referrals.
• Understanding of harm reduction philosophy and ability to provide non-judgmental, client centered services.
• Bilingual language capacity (Spanish/English.)
Background Clearance
• Must not be on active parole or probation, clear with OIG database.
• Must complete background check and live scan.
