Marketing Specialist: Event Coordinator

Essential Job Functions:
- Manages logistical components to execute meetings and events for both internal and external audiences.
- Develops budgets and reconciles expenses.
- Creates and monitors event timelines and coordinates associated communications.
- Provides on-site function management or prepares stakeholders for on-site management.
- Coordinates and participates in site visits for potential venues, as needed.
- Maintains vendor relationships and negotiates contracts and agreements.
- Arranges travel, event accommodations, and menus.
- Coordinates the distribution and timely communication of event materials.
- Develops and facilitates planning meetings involving the necessary stakeholders.
Education Requirements:
- Bachelor’s degree (B.A.) from four-year college or university; or four to six years related experience and/or training; or equivalent combination of education and experience.
- Certified Meeting Planner (CMP) designation preferred.
- A minimum requirement for this position is the ability to work legally in the United States. No visa sponsorship/support is available for this position, including for any type of U.S. permanent residency (green card) process.
Required Skills
- Ability to travel up to 25% of the time and perform on-site activities as needed.
- Excellent presentation, facilitation, organizational, communication and execution skills.
- Ability to multitask in a high-demand, high-volume environment.
- Experience with sourcing and contracting with third-party vendors.
- Experience with event registration software.
- Proficiency with MS Word, Excel, and PowerPoint.
- Ability to cultivate strong relationships with co-workers, key business partners, and vendors.
- Creativity, effective strategic thinking, and the ability to “think outside the box” to be a change agent.
- Ability to anticipate issues and work ahead to ensure tasks are completed.
Desired Skills
- Experience with Cvent, the event registration platform.
- Insurance industry knowledge or experience.
- Experience in sourcing and organizing unique small-group events (under 50 people) at boutique venues.
- Preference will be given to candidates within a one-hour travel radius of Frankenmuth, Michigan.
