POSITION SUMMARY
The Scheduling Assistant is responsible for assisting the Scheduling Supervisor in the daily operations of the agency’s on-going scheduling functions.
QUALIFICATIONS
- Computer skills: Word and Excel spreadsheets
- Excellent organizational skills with attention to detail
- Good communication and interpersonal skills
- Ability to prioritize and organize daily workload
- High School education required
DUTIES AND RESPONSIBILITIES
- Creates yearly model calendars for staff in the computer.
- Verifies schedules provided by clinicians with computer-generated schedules and makes changes accordingly.
- Verifies and changes recent visits to ensure staff does not overlook patient recertification.
- Ensures frequencies written by clinician’s match visit patterns; contacts clinicians when corrections need to occur.
- Reassigns patients to covering clinicians during periods of vacations and other absences.
- Edits visits when computer glitches occur.
- Schedules Telehealth installations and removals.
- Handles general inquiries from staff and patients, whether received by telephone, e-mail, or in person.
- Identifies problems/concerns with patients and staff and reports them appropriately.
- Communicates all changes in the daily schedule to the appropriate supervisor and/or staff member.

- Obtains and delivers information to others by computer, phone, fax, written reports, letters and in person.
- Interacts with field staff, patients, families, physicians, other health disciplines, agencies, insurance companies, hospitals, labs, employers, government agencies and representatives as necessary.

- Complies with risk management practices.
- Maintains confidentiality of patient/staff information.

PHYSICAL ACTIVITIES REQUIRED TO CARRY OUT POSITION
Reaching/Turning/Twisting
Must be able to reach above shoulders, reach below the hip area, stoop, bend knees, kneel onto knees and climb on a footstool.
Repetitive Motion
Ability to sit for 90% of the work day. Ability to see paperwork. Use telephone (amplification or special equipment possible), lift fifteen to twenty-five (15-25) pounds, use the computer/typewriter keyboard, open and close drawers for filing.
SENSORY ABILITIES
Verbal
Must be able to clearly speak English to communicate. Must also be able to communicate with professionals involved in patient care.
Auditory
Hearing level or accommodation sufficient to use telephone and to communicate with staff, consumers, families, physicians and other professionals.
Visual
Must be able to see to complete/review required documentation and to use the personal computer. Depth perception is required for all fine tasks.
