This is a union position.
This role will be responsible for a variety of critical treasury functions. Plays a crucial role in ensuring the accuracy and efficiency of financial record-keeping and data management. Combines skills in data entry with a basic understanding of financial principles to accurately deposit, record, update and manage incoming funds into the financial software system that is received from all areas of Carnegie Museums and the Bellefield Boiler Plant. Receipts include donations, memberships, grants from foundations and government agencies that require specific handling. Monitors the daily credit card deposits and manages chargebacks by logging into credit card processing systems and handling fraudulent transactions and ensuring proper documentation and communication with relevant parties both in-house and external clients.
QUALIFICATIONS:
EDUCATION AND EXPERIENCE:
- Requires a high school diploma with business education courses.
- A related degree or certification would be beneficial.
- Must have a strong understanding of basic accounting principles and financial terminology.
- Must have a minimum of three years’ experience as a teller in a financial institution or related experience.
KNOWLEDGE, SKILLS, AND ABILITIES:
- Proven experience in data entry, preferably with financial data.
- Proficiency in data entry software and Microsoft Excel and Word.
- Must be well versed in handling monetary transactions and be trustworthy.
- Familiarity with electronic document management systems.
- Exceptional accuracy and attention to detail.
- Excellent organizational and time management skills.
- Ability to work independently and as part of a team.
- Must possess strong communicational and interpersonal skills and have the ability to maintain confidentiality and exercise discretion.
PHYSICAL REQUIREMENTS:
- Work is primarily sedentary in nature.
- Prolonged periods of continuous sitting with occasional bending and lifting of 25 pounds or less.

ENVIRONMENT AND SCHEDULING
A comfortable work environment is provided on sight and designed to foster collaboration and productivity. Offers a standard work week where the employee is scheduled to work five days per week, from Monday to Friday with occasional overtime.
ESSENTIAL FUNCTIONS AND ACCOUNTABILITIES:
- Receives various forms of payment including coin, currency, checks, credit cards, electronic payments and wire transfers. Verifies the accuracy and completeness of the financial data, to include the accuracy of local, state, amusement and parking taxes; identifying and resolving discrepancies which is crucial for following tax regulations. Ensures that all departments are following all cash receipt deposit procedures and received in a timely fashion so that the month end and year end deadlines are met.
- Maintains various credit card processing systems, daily, ensuring accurate deposit settlement for all merchant locations throughout CM. Verifying deposit amounts and reconciling them with the transaction records received on the daily cash receipt deposit forms from all locations of CM.
- Accurately and efficiently enter financial data from various sources into designated financial software and spreadsheets. Adhere to established data entry procedures and quality control standards.
- Manages credit card chargebacks responding effectively with both internal and external clients. Provides evidence and appealing disputes and communicates with customers and issuing banks and other stakeholders. Maintaining detailed documentation of all chargebacks to include the evidence and communication records.
- Manages a sizeable petty cash fund and change fund. Acts as liaison with the armored car service for transport of deposits and receipt of coin and currency orders.
- Manages neat, organized and up-to-date electronic and physical financial records by classification system.
- Perform basic bookkeeping tasks as well as assist with the preparation of financial reports and summaries as needed.
- Communicate effectively with internal and external clients. Brings incidents of importance or of an unusual nature to the attention of their immediate supervisor.
- Accomplishes responsibilities with minimum supervision, attaining a satisfactory work output relative to the standards of the position. Meets all established deadlines.
- Maintains a neat, clean, safe and secure working environment by complying with procedures, rules and regulations. Performs light housekeeping tasks.
- Contributes to the team effort by accomplishing miscellaneous office duties on an as needed basis.
- Displays courtesy and sensitivity in dealing with the public, depositors and coworkers. Projects a positive attitude and image.
