Summary / Objective

The Executive Assistant to the CEO acts as the Chief Executive Officer’s primary liaison to the Bestway community and externally interfacing with senior and professional staff members and a wide array of Bestway office team members.  This position will also be assigned as the Company’s Communications Leader.   The CEO values communication as a major part of the company’s culture and this position will be responsible for consistent communication and messaging from the Home Office to the field as well as to Home Office for a consistent message with clear recognition of our people as well as information.   This role will be involved in the creation of the communications and the process in which will occur through the Company’s intranet.

 

The Executive Assistant will perform broad confidential and time-sensitive work assignments and is responsible for the daily coordination of meetings and assisting the Company’s Senior Operational Management with evolving business needs with high energy. 
In this position, the coordination of the CEO’s calendar, engagements and logistics supporting all executive needs with a strong command of computer skills, empathy, and flexibility.  The position promotes the culture of the organization and serves as a liaison.

 

Essential Functions

  • Maintaining, coordinating, and updating CEO’s calendar for meetings, appointments, travel and visits to various store locations

  • Coordination of all domestic and/or or international travel, lodging and researches and prepares appropriate itineraries.

  • Uses appropriate professional judgement to keep CEO abreast of any changes, issues, or concerns that may impact daily activities and/or schedules

  • Screening calls for the CEO and ensuring appropriate follow-up occurs either within the CEO’s office or with another business

  • Managing and processing the CEO’s expense reports for review and payment

  • Managing and tracking all external and internal correspondence, invitations, etc.

  • May assist the RVP’s and other senior staff with administrative duties such as travel, expense reports and document preparation as required

  • Maintaining appropriate contacts for CEO.  Creating updates and maintains user friendly contact database so that the EA is aware of all important contacts for CEO

  • Coordinating all Departmental Director meetings, Home Office Team Meetings, Board of Director meetings.

  • Communication Leader and coordinator for consistent messaging to the field and all Bestway Ambassadors

  • Assist in the planning and employee engagement activities and other special events deemed by the CEO

  • Providing other and all administrative support as needed

     

Competencies

  • Minimum of 5 years previous experience in the role of executive administrative assistant.

  • Experience in the retail industry sector a plus

  • Microsoft Office Suite, Adobe Creative Suite

 

Work Environment

This job operates in a professional office environment.  This role routinely uses standard office equipment such as computers, phones, photocopiers, fax machines, and scanners.

 

Position Type / Expected Hours of Work

This is a full-time position.  Days and hours of work are Monday through Friday,

8:00 a.m. to 5 p.m. unless flex schedule is requested per Company standard. May require additional hours as needed.
