Responsibilities:
- Administer and track all types of employee leave across U.S. business units, including FMLA, ADA, state-specific family and medical leave, workers’ compensation, disability, military, personal leave, and accommodations under the ADA and Pregnant Workers Fairness Act (PWFA).
- Possess strong experience and in-depth knowledge of federal and state leave laws, with a focus on FMLA, ADA, and PWFA compliance.
- Determine eligibility for various leave programs based on legal and organizational policies.
- Maintain detailed documentation and case records to ensure regulatory compliance and audit readiness.
- Review and analyze medical certifications, requesting clarification or additional documentation when necessary.
- Coordinate return-to-work processes, including fitness-for-duty evaluations and transitional duty planning.
- Align leave management with related benefits programs, including disability insurance, workers’ compensation, and unemployment.
- Monitor leave trends, generate reports, and provide actionable insights to HR leadership.
- Evaluate and respond to accommodation requests in compliance with the ADA and applicable state/local laws.
- Lead the interactive process by collaborating with employees, managers, and healthcare providers.
- Conduct job analyses to identify essential functions and develop viable accommodation strategies.
- Implement accommodations such as assistive technology, modified schedules, and policy adjustments.
- Partner with external vendors including occupational health professionals and ergonomic consultants.
- Monitor accommodation effectiveness and maintain supporting documentation.
- Deliver training to managers on disability awareness and best practices for workplace accommodations.
- Stay current with evolving legislation and regulatory changes affecting leave and accommodations.
- Support the development, revision, and communication of leave and accommodation policies.
- Coach and train managers to ensure compliance and promote supportive employee relations.
- Serve as a subject matter expert and primary point of contact for employee inquiries related to leave and accommodations.
- Prepare and present documentation for internal and external audits and legal reviews.
- Collaborate closely with Legal, Risk, Safety, HR, and Operations teams to support compliance and consistency.
Qualifications:
- Bachelor’s degree in Human Resources, Business Administration, Political Science, Psychology, or a related field.
- 3–5 years of relevant experience in leave administration, accommodations, or HR with a focus on compliance and case management.
- Bilingual fluency in English and Spanish (verbal and written) required.
- Preferred certifications: PHR, SHRM-CP, CPDM, or equivalent.
- Strong knowledge of FMLA, ADA, workers’ comp, disability benefits, and state/local leave laws.
- Proficient in HRIS and leave management systems, with a preference for Dayforce and/or HR Acuity.
- Advanced Microsoft Office skills, particularly in Excel and Word.
- Experience supporting manufacturing environments or industries involving manual labor, with a strong understanding of accommodation practices.
- Skilled in maintaining HIPAA-compliant and confidential employee records.
- Background in workers’ compensation, occupational health and safety, and benefits administration.
- Well-versed in ergonomics, disability accommodations, and end-to-end case management.
- Familiar with unionized workplaces and collective bargaining agreements.
- Strong analytical, communication, and problem-solving capabilities.
- Empathetic, professional, and customer-focused, with a collaborative and culturally competent approach.
- Demonstrated ability to manage multiple cases with accuracy and efficiency.
- Committed to regulatory compliance, audit readiness, and implementing cost-effective accommodation solutions.
- Proven success in enhancing employee satisfaction and fostering positive manager engagement.
